Administrative Assistant
Job Description
Work under the supervision of the Executive Director. The Administrative Assistant will assume responsibility for the front office and will be in charge of handling all operations of that area. The Administrative Assistant will be accountable for the success of the front office.
Duties & Responsibilities
Oversee all aspects of general office coordination.
Interact with vendors and visitors.
Answer telephone and handle according to policies and protocols.
Sort and distribute incoming correspondence, faxes and emails.
Sign for and distribute UPS/FedEx/USPS or similarly delivered packages and mail.
Prepare responses to correspondence containing routine inquiries.
Perform general clerical duties to include, but not limited to, bookkeeping, copying, faxing, mailing and filing.
File and retrieve organizational documents, records and reports.
Create and modify documents such as invoices, reports, memos, letters and financial statements using word processing, spreadsheet, database and/or other presentation software such as Microsoft Office, Quickbooks and other programs.
May conduct research, compile data and prepare papers for consideration and presentation to the Executive Director.
Collect and maintain inventory of office equipment and supplies.
May supervise volunteers and other support personnel.
Assist in special events, such as public relations activities and health fairs.
Assist with overall maintenance of the organization.
Other duties as assigned by Executive Director.
Greet patients and interact with them in a professional and supportive manner.
Ensure confidentiality of patient protected health information.
Receive and process payment for services rendered and/or process insurance claims accordingly.
Compose and send patient correspondences.
Attends scheduled office meetings.
Accurately records daily transactions.
Maintain office and supplement inventory.
Calls patients to confirm and schedule appointments.
Answer incoming calls in a professional manner and in accordance with office policies and protocols.
Develop and/or implement efficient processes and procedures to maintain effective office operations.
Knowledge, Skills and Abilities
Computer literate.
Good writing, analytical and problem-solving skills.
Knowledge of principles and practices of organization, planning, record management and general administration.
Ability to communicate effectively.
Ability to operate standard office equipment, including but not limited to, computers, telephone systems, keyboarding, calculators, copiers and facsimile machines.
Ability to follow oral and written communication.
Minimum Qualifications
At least 3 years experience in general office responsibilities and procedures.
Must be able to quickly learn new software programs.
Knowledge of principles and practices of basic office management and organization.
Knowledge of the basic principles and practices of bookkeeping.
Ability to work well either alone or as a part of a team.
Must be highly organized and able to work independently.
Must be able to follow office procedures and policies.
Must have strong verbal and written communication skills.
